Finding resources
Views, filters and items – how to get to the right resource
Zeitwart shows the same resources in several ways: calendar, calendar overview, map, tiles and list. The filter narrows them down – by free text, by a period "Free on … from … for …" and by attribute comparisons, with a match count before you apply it. Items appear alongside, but cannot be booked.
Zeitwart shows the same resources in several ways. Which view is the right one depends on what you are looking for: an appointment, a free room, or the room that matches your requirements.
The view switcher
The toolbar at the top holds the Change view icon group with five views: Calendar, Calendar overview, Map, Tiles and List. Tiles only appear on a computer; on a phone there are four.
Two buttons can be greyed out: Calendar overview when the filter leaves only one resource, and Map when no unit has a floor plan.
Which view you land in when opening a home tile is set by the tile itself. You can switch at any time afterwards.
Calendar
Shows the bookings of one resource as blocks through the day – the most familiar view and usually the default.
The dropdown switches between day, week and month; week is normally active. Clicking a weekday in the month view jumps into that week.
Good when you have a particular resource in mind and want to know when it is free.
Calendar overview
The strongest view when several resources matter at once: it puts them side by side in columns.
The + symbol below the name combines resources into one booking. That pays off in two cases:
Divisible rooms. A conference room that splits in two becomes one again for the larger meeting.
Mobile equipment. Trolleys, smart screens, projectors – things that belong to the appointment.
You need booking permission on all resources involved, and the quota for simultaneous bookings has to allow it.
If filtering leaves only one resource, the view is unavailable – one column is not worth it.
Map
Shows the floor plan instead of a list. Every resource carries a colour:
Colour | Meaning |
|---|---|
green | free |
yellow | busy soon |
red | occupied |
Hovering over a resource shows its start and end time; on yellow it also says how much longer it is free. That makes the map the view for the spontaneous case: whoever needs a desk right now can see one.
The map can do more than colour things in today:
Search for a resource – a search field directly on the plan.
Navigate here – routing inside the building, step-free on request.
A switch between top-down and 3D view.
A bar for campus, building and floor where several exist.
A booking can be started straight from the plan.
This is also useful for shared desks: you see not only which desk is free, but who is sitting at the neighbouring ones.
Tiles
Every resource becomes a tile with a background image – good wherever appearance helps with the choice: a pool of company cars, a row of differently equipped meeting rooms.
Without an image, the tile carries an i symbol holding the details of the resource. A tile shows no booking history but does point to the next booking.
List
A plain enumeration of the resources with their key details. It is the view of choice on a phone and whenever many resources need to be skimmed quickly.
Calendar layers
The Calendar layers menu holds two switches that make the calendar easier to read:
Highlight bookable times – hours outside opening times recede.
Show occupancy reports – shows readings from sensors or access control, where your organisation supplies them. Not available in the month view.
What you switch here matches the settings of the same name in your profile.
Passing a view on
The view, the area and any filters are part of the address. You can copy it and pass it on – whoever opens it sees the same selection. The browser's back button works as expected too.
Filtering
Anyone booking among a handful of rooms finds the right one by eye. Anyone choosing from a hundred needs the filter.
What the filter can do
Search – free text across the name and description of the resource.
Units – narrows down to the resources of selected units.
Free on … from … for … – the most useful filter and the least known: you give a day, a start time and the duration you want, and Zeitwart shows only what is actually free then. The duration comes from presets or as custom in minutes.
In Advanced mode this becomes Free from and Free until, across several days as well. If start and end do not fit together, Zeitwart says so immediately.
Attribute filters – the free attributes of your organisation: number of people, equipment, floor, whatever is stored. Each attribute gets a comparison:
Comparison | Example |
|---|---|
Equals · Not equal | floor equals 3 |
Contains · Does not contain | equipment contains projector |
Starts with · Ends with | name starts with "B" |
Greater than · Greater or equal | seats greater or equal 12 |
Less than · Less or equal | area less than 40 |
For numeric fields it also tells you which values actually occur – so you do not filter into the void.
The match count
The button carries the number of matches before you press it: Apply (12). If your selection leads nowhere it says "This selection returns no results." So you can experiment freely without losing your view.
Reset discards all filters, Delete Filter individual ones. How many are currently in effect is shown as ":n filters active" on the funnel.
Filter and view are connected
Two side effects that surprise people at first:
If the filter leaves only one resource, the calendar overview view is no longer available – one column is not worth it.
If the filter finds nothing, the view reports "No resources found" and suggests changing the filter.
Items
Besides rooms and desks, Zeitwart also keeps the inventory: projectors, screens, furniture, tools, vehicles. Things like these are called items here.
The difference from a resource
This is the most important distinction on this page:
A resource can be booked. It has a calendar and an availability.
An item cannot. It answers the question "where is it?", not "is it free?".
Anything meant to be booked in its own right – the mobile projector that travels around – is therefore created by your organisation as a resource, not as an item. Everything that simply stands somewhere is an item.
Where you come across items
In the global search. Type the name and the search shows an Items category. Clicking opens its details – including which room it is in.
At the room. The detail view of a resource lists the items assigned to it. So you can see before booking whether the room has the screen you need.
On the map. In the map view items carry a colour of their own. From the details you can even have the route to them shown.
An item can be in several places
That sounds contradictory but is practical: mobile equipment travels. An item can therefore be assigned to several rooms – the assignment says where it is usually found, not where it stands this second.
What you cannot do with them
Items are not booked along with the room. When you book a room, the projector in it is not reserved – it is merely documented. If you need the assurance that a device is available, it has to be kept as a resource. That is a question for your administration.
When an item is missing
The list is only as good as its upkeep. If a device is not in it, or is in the wrong room, a word to your administration helps – users cannot create or move items themselves.
