How check-in works in Zeitwart

You have booked a room – but are you actually using it?
With check-in, you make sure your booking stays active. If you do not show up, the room is automatically released again. This makes Zeitwart even more efficient – for you and everyone else.

Why check in?

Zeitwart ensures that rooms only count as occupied when they are actually being used.
That is why: only your check-in marks the room as occupied. This means rooms are not needlessly blocked when someone does not show up (a “no-show”).

How can you check in?

You have several easy options:

Scan a QR code: directly at the room or on the display
Use the display at the room: check in with a tap, without any app

Which options are available depends on your organisation's settings.

When do you need to check in?

You will find out whether check-in is required for your booking in the confirmation email, which tells you the check-in times. Check-in is possible for a set period before and after the start of your booking. A typical time window might look like this:

15 minutes before the start: check-in is possible
15 minutes after the start: after that, your booking is marked as a "no-show" if no check-in has taken place

The exact time limits are set by your organisation.

What happens if you do not check in?

If you forget to check in, your booking can be automatically ended or cancelled. The following actions may be triggered:

The room is automatically released
You or your admin receive a notification
An email is sent to those involved

These measures help make rooms available to others when they are not being used.

Can someone else check in for you?

Yes. People with certain rights – so-called check-in managers – can also carry out the check-in for others. This is helpful, for example, with group bookings or in support cases.

Is check-in secure?

Yes. The check-in function is based on secure tokens and QR codes. These are digitally signed and cannot be manipulated. Especially secure QR codes are even valid for only a few minutes and are ideal for displays in sensitive areas.

Can you view your check-ins?

In your personal overview or your organisation's statistics (depending on your permissions), you can track:

Which rooms you have used
Whether you checked in on time
How often you missed a booking
