Series bookings
What you should know about series bookings
Recurring appointments are created in the booking form under “Series until”. Zeitwart knows two variants: the rule-based standard series for patterns by date, and the weekly Zeitwart logic that preserves gaps. The choice is binding at creation time. Anything unusual is assembled in the “Custom…” dialog.
Menu path: Create booking → section "Series until"
Want to book a resource for several appointments? The booking form has the Series until section for that. If it is not shown to you, you lack the necessary permissions – the administrators of the unit may have restricted them.
You take the usual route of a normal booking and pick the first day of the series as your starting point.
Two variants, one decision
Zeitwart knows two kinds of recurring appointments. You decide at creation time which logic applies, and the choice cannot be changed later.
Variant | Suited to | Characteristics |
|---|---|---|
Standard series (daily, monthly, yearly, "Custom…") | complex patterns such as every second Thursday, the last day of the month, ending after a fixed number | Changes recalculate the series completely. Individual appointments with a special status are lost. No gap logic. |
Zeitwart logic (weekly) | simple weekly series that need flexible editing | Appointments are adjusted rather than recreated. Weeks without an appointment stay empty. Weekly only. |
Repetition options
The Repeat field offers these options:
No repetition – a single appointment
Weekly on [weekday] – a weekly series by date
Weekly (Zeitwart logic) – a flexible weekly series with gap logic
Monthly on day [n] – a fixed calendar day each month
Yearly on [date] – a recurring anniversary
Custom… – freely defined repetitions
The "Custom…" dialog
If none of the presets fits, Custom… opens the Recurring Appointment (Custom) dialog. It covers nearly any pattern.
Field | Choice |
|---|---|
Frequency | daily, weekly, monthly or yearly |
Interval | every unit, every second, every third … |
Weekdays | for weekly repetitions, several at once |
Monthly mode | On day N, On the Nth weekday or Special days (last / penultimate day) |
Yearly | month and day of the month |
End | End date or Number of occurrences |
Two examples that need this dialog:
Every second Thursday of the month: frequency monthly, mode On the Nth weekday, position "2", weekday "Thursday".
Always on the last day of the month: frequency monthly, mode Special days, special day Last day of the month.
Below the fields, one sentence describes what you have just put together – read it before saving. If something is missing, Zeitwart says so directly.
Standard series
Creating: pick one of the rule options in the Repeat menu, for instance Monthly on day 18. or Custom…, and set frequency, start date and end condition.
Editing: changes trigger a complete recalculation. Individual adjustments such as moved or dropped appointments are lost in the process, and there is no gap logic – every week and month is filled again.
Ideal for patterns by date, monthly or yearly.
Zeitwart logic
Creating: pick Weekly (Zeitwart logic) in the menu and set start date, weekday and end of series.
Editing: existing appointments are adjusted, not deleted. You can change the series from a given date onwards, for example from Wednesday to Thursday from 1 May, without losing existing entries. Weeks without an appointment stay empty and are not filled in afterwards. Individual appointments can be edited or deleted independently.
Limits: weekly repetitions only, no monthly or yearly rules.
Ideal for regular weekly routines where gaps such as holidays should be preserved.
Which to choose
Goal | Recommended variant |
|---|---|
complex series with monthly or yearly patterns | standard series |
weekly series that need flexible editing | Zeitwart logic |
Two examples:
"Every second Thursday of the month, until the end of the year" → standard series
"Training weekly on Wednesdays; from 1 May on Thursdays; cancelled weeks stay empty" → Zeitwart logic
Editing a series
To edit the whole series, click the pencil marked Series at the bottom of the Selected booking panel:
How a change plays out depends on the logic you chose:
Standard series: a different weekday, a new interval or a changed end date cause all existing appointments to be deleted and created afresh. Individual adjustments are lost. That suits you when a cleanly recalculated series matters more than individual exceptions.
Zeitwart logic: changes act on the existing appointments without recreating them. You can adjust the series from a given date onwards without losing existing entries. Weeks without an appointment stay empty – the gap logic.
Cancelling individual appointments
Click one booking of the series:
Expand Series until … using the downward arrow. The other bookings of the series appear below it; the one currently selected is highlighted:
Tick the appointments that should go:
Clicking the bin symbol that now appears, and confirming in the following dialog, removes the marked entries:
A cancellation only ever affects the appointment you opened, never the whole run – more on that under Creating bookings.
Deleting individual bookings
Alternatively, select the booking through the calendar …
… and in Selected booking …
… click the bin symbol right at the bottom:
After a short confirmation dialog …
… the booking is deleted. All other appointments of the series are untouched.
Important: a booking deleted this way stays deleted. It is not recreated even if the series is saved again. To fill a resulting gap, create a single booking or a new series covering that period.
Deleting a whole series
This works from any booking of the series: choose the pencil marked Series and click the bin in the Edit series booking dialog:
After the confirmation dialog …
… the series is gone.
