Catering, technology, setup: bookable services added straight to the room booking.
A room on its own does not make an event. It needs coffee, technology, somebody to set out the chairs and somebody to clean up afterwards. Today that usually runs on shouted requests, e-mails and lists – and then gets forgotten anyway. In Zeitwart these become services that are booked along with the room.
The chain behind it
A service provider behaves like an organisational unit: it has settings and booking rules of its own – "catering only with three days' notice", for instance. The individual services hang beneath it, with their type, quantity relevance and cost rules.
When a service is added to a booking, it produces an order with frozen prices. That order is the basis of any later invoicing – even long after the price of the service itself has changed.
Rules of their own per provider
Promising the kitchen twenty extra portions five minutes before the start does not work. Every service provider therefore brings its own booking rules: lead times, time windows, minimum and maximum quantities. The room may still be bookable while the catering is not – and the person booking finds out immediately, not through a cancellation the next day.
Approval where it is needed
Some services need the provider's confirmation, others do not. Whether a service has to be confirmed is set per role and organisational unit, independently of whether the room booking itself needs approval. Caretaking can therefore work without a query while catering confirms.
The provider's own view
Whoever delivers the service gets a view of their own: the service bookings as a list and as a calendar, with accept and decline built in. Each provider sees only their own positions – the kitchen sees the catering, not the technology.
