Cost rules and pricing
Flat fees, tiers and validity periods – Zeitwart prices a booking while it is made.
Anyone letting rooms for a fee usually calculates on the side: a table of hourly rates, a calculator, an e-mail to accounts. Cost rules move that to where the information arises – into the booking itself.
What a cost rule contains
an optional base fee
a calculation basis: by time or by quantity
one or more price intervals
optional tiers and rounding rules
a validity period
Rules are not active globally; they are assigned deliberately to a room or a service. Only that assignment makes them take effect. Through the validity period you create new tariffs in advance – the change at the turn of the year then happens by itself.
Visible before anything is booked
Where a cost rule is stored, Zeitwart calculates while the booking is made. The booking preview shows the total before anyone confirms, and the confirmation e-mail lists it. There is no surprise afterwards and no query about why the amount differs from expectations.
On top of that you describe your model in plain words as price information: "€20 per hour", "€50 base price plus €2 per participant". People then see not only the amount but understand it.
From price to order
Every chargeable booking automatically produces an order with frozen prices. Assigned service providers are informed by e-mail about chargeable services, and all cost-incurring bookings can be exported as an Excel list – handing over to accounts becomes a download instead of a chore.
What Zeitwart is not
Zeitwart is not a payment system. It settles no payments and integrates no payment provider. The calculated costs serve internal charging, documentation and further processing. Anyone who needs a till keeps running one separately – but gets clean figures from Zeitwart for it.
Typical models
an hourly rate per room, tiered by internal and external use
a day rate for event spaces, rounded up to half days
a price per participant for catering and refreshments
