Controllable e-mail
You decide when Zeitwart writes, to whom – and what else the message says.
E-mails from a booking system have two failure modes: too many or too few. Write about every trifle and you get ignored; stay silent and you generate queries. Zeitwart therefore lets you define exactly when a message goes out and what it says.
When Zeitwart writes
Sending hangs on events around the booking – confirmation, change, cancellation, approval request, a reminder before the start, and the notice when a check-in has not happened. Each of these messages can be switched on and off individually.
Different per organisational unit
Like every setting, sending is defined per organisational unit and inherited downwards. A unit that works a lot with external guests can inform them thoroughly, while another with internal desks stays almost silent. Overriding and releasing again is possible at any time; the defined in column shows where the effective value comes from.
Your own text where it helps
At several points you can store a free text that appears additionally in the mail – notes on deadlines, who to ask, internal rules. For the no-show message the text is maintained per language and delivered in the recipient's own language.
On top of that come the contact details of the organisational unit: name and address appear in the booking mails, so the reply lands where it belongs and not in a central mailbox nobody reads.
Who gets the message
Depending on the event, different recipients can be addressed: the person booking, the participants, the administrators of the unit or a central collecting address. Approval requests can go to all authorised people and to an office at the same time.
