Zeitwart prevents double bookings while you type – and optionally per user too.
A double booking is the most embarrassing mistake a booking system can make. Zeitwart therefore checks every new booking for overlaps – on two levels that you can set to different degrees of strictness.
Resources: never twice, no exceptions
A meeting room, a desk, a company car can only be used once and therefore only booked once. This check is built in and cannot be switched off. The conflict becomes visible while the booking is being entered, not when it is saved – and certainly not when two groups are standing outside the same door.
Users: as strict as you need
At user level the matter is less clear-cut. By default nobody can create two simultaneous bookings. For desks that is right: occupying two of them for the same hour makes no sense.
Often, though, exactly that should be possible – a desk plus a meeting room for the afternoon. That is what the evaluation scope is for, a setting on the organisational unit with three forms:
empty – checking covers the entire stock, nobody can book in parallel
a unit – checking happens only within that area, for example only among the desks
switched off – users may create any number of simultaneous bookings
Like every setting, the evaluation scope is inherited down the tree. If the whole organisation should work without the user check, a single entry on the top unit is enough.
Why the separation matters
The two levels answer different questions. The resource check protects the resource from being overbooked – that is not negotiable. The user check protects against people hoarding capacity and is an organisational decision. Squeeze both into one switch and you have to choose between chaotic calendars and blocked users. Zeitwart keeps them apart.
